Account Inactivity and Deletion
RiskApp's inactivity policy applies to free teams and teams whose paid access has expired. It is assessed per team, not just against the account owner's last login.
Publication and effective date
The publication and effective dates are shown in the Terms and Conditions. The change will be announced in the Service at least 30 days before it takes effect. Enforcement will not begin while those dates are unannounced. Existing teams receive a new observation period beginning no earlier than the effective date and the start of activity tracking. Old login records alone will not cause an existing team to enter deletion.
What counts as activity?
Authenticated use of the team's website, mobile/API services, or client portal counts, including an existing signed-in session and background sync. A successful login protects the teams associated with that user. Later requests record activity for the team being accessed. Staff administration, failed logins, public page visits, and RiskApp's scheduled jobs do not count.
Offline-only mobile work cannot be detected until the device connects. Connect and use the relevant team before the warned deadline. If you are unsure which team is active, open that team and allow it to sync.
Warning schedule
After three calendar months with no qualifying activity, we email the team owner and administrators:

Each email identifies the team and its earliest deletion date and timezone. Failed or late warnings postpone deletion so the notice periods are preserved. Keep owner and administrator email addresses current. Delivery problems may require our support team's help.
How to prevent deletion
Sign in and use the team before the deadline. Qualifying activity cancels the entire countdown. A future period of inactivity requires a new warning cycle. An upgrade to a protected paid plan also cancels the countdown.
Active paid subscriptions, active trials, payment recovery, and paid time remaining after cancellation are protected. Where billing or ownership cannot be verified, deletion is blocked pending investigation.
Export any records you need before the deadline. Contact RiskApp support if you cannot access your account or need assistance before deletion begins.
What is permanently deleted?
The team's live application resources are permanently deleted: clients, locations, templates and versions, submissions and answers, tasks and comments, observation lists, signatures, uploaded media, generated reports, imports and exports, invitations, and associated application records and team support content.
Users associated only with that team are removed. Shared users keep their other teams and client access. Deleting one team does not delete another team's resources.
There is no additional recovery window after inactivity deletion. We send a final email when database and uploaded-media cleanup has completed. This confirmation does not promise immediate erasure from backups, external support systems, or accounting records held by payment providers. See the Privacy Policy.
